Westridge is seeking an assistant for its small but mighty communications and marketing department whose work spans websites, online newsletters, social media, photo and video production, graphic design, branding, parent and alumnae communications, and magazine production. The ideal candidate: has a keen eye for detail; is comfortable working across multiple tech platforms and learning new ones; is proactive in working with teams across departments to obtain information and coordinate document reviews and approvals; and is interested in learning about marketing and communications. This position reports to the Associate Director of Communications

 

Specific Responsibilities Include:

 

E-mail, newsletter, and website support 

  • Lead production of the school’s weekly parent e-newsletter, the school’s main parent communication, as well as a bi-monthly alumnae newsletter
  • Format and distribute emails from the school’s content management systems
  • Manage email lists
  • Post content to website and community portal
  • Upload photo galleries to website
  • Regularly review website and portal for outdated content

 

General Responsibilities

  • Draft and distribute quarterly calendar mailing
  • Coordinate occasional promotional mailings
  • Conduct research in school’s archival database
  • Light document formatting
  • Monitor the school’s general information email accounts, handling and routing inquiries as needed
  • Manage digital form creation for events and other school functions
  • Manage document translation when needed (coordinating with internal and external translators)
  • Proofread documents for team
  • Assist in organizing small events led by the communications and marketing department
  • Assist in sourcing and ordering branded promotional items
  • Assist in research as needed
  • Attend and support Admission and Advancement events (including special events, volunteer events, Alumnae Weekend) as assigned

 

Administrative duties

  • Process department invoices and expense reports
  • Assist with meeting minutes and organization of shared team files
  • Check department mailbox and packages

 

Requirements:

  • 2-3 years administrative or communications experience
  • Experience using a website content management system and/or email marketing platform; database experience is a plus
  • Strong proficiency in MS Office Suite (Word, Excel, and Outlook); experience in Canva and/or Adobe Suite (particularly InDesign) a plus (or an openness to being trained in Canva)
  • Highly organized with sharp attention to detail, and ability to anticipate needs and problem solve Strength in routine business writing and communication—interest and strength in writing a plus
  • Tech-savvy and quick to learn new systems and programs
  • Ability to manage multiple projects at once—from inception to completion
  • Strong interpersonal, written, and oral communication skills
  • Team player with positive attitude

Salary

This is a permanent, full-time (12-month), non-exempt position and is eligible for Westridge’s comprehensive benefits package that includes paid time off, medical, vision, dental, and generous 403b retirement options. Salary range is between $27.40/hr and $31.25/hr, depending on experience.

 

Schedule: 40 hours per week as follows: Monday- Friday with flexibility to work different shifts (including early mornings and evenings) and weekends when necessary. This is NOT a remote position.
